Can SUVs shuttle forty wedding guests between the hotel and the venue?

Yes, as a repeating circuit rather than a single departure. For forty guests, plan on six or seven runs in each direction, and plan the timeline on the cycle rather than the count: a hotel ten minutes from the venue and a hotel thirty minutes away are different evenings with the same guest list.

There is no single departure time everyone has to hit, so guests leave in waves and a straggler catches the next run instead of holding up a room. Demand spreads out on its own: heavy before the ceremony and after the last dance, light in between.

What it asks from you is a headcount and a window: how many guests need the loop, when the first pickup leaves, and when the last run should clear the venue. Send those with the hotel and the venue, and we tell you how long a full sweep takes across your two doors and whether one vehicle covers it or the evening wants a second.

Which entrance does each Lake Geneva property use for pickups?

Tell us your venue contact and we will confirm the pickup door with them before the day. Pickup points at a resort can change with the event, the weather, or the day, so we confirm the door rather than assume it.

Grand Geneva Resort & Spa and The Abbey Resort are familiar stops for us, as are Lake Lawn Resort, Timber Ridge Lodge, and Miramonte. Familiar means these are stops we cover, not that we assume a door. Before the day we will work with your coordinator on the entrance the shuttle uses at each end, and give you one line for the welcome card: where to stand, and when.

What to give us: your venue contact’s name, and whether guests are staying in one place or several. A list spread between the lakefront and rentals in Williams Bay or Fontana changes the run order, and we would rather build that in than discover it at nine in the evening.

How do we time the shuttle around a 5 pm ceremony?

A planning frame, not a fixed schedule: we set real times with you and your coordinator once the venue confirms its timeline and we know the cycle between your hotel door and your venue door.

• Mid-afternoon: the first runs move guests who want to be early, plus anyone who would rather have a shorter walk to the door.
• Before the ceremony: the heaviest block. Runs leave the hotel back to back, and the cycle sets how early the first one goes: a short cycle fits the block into the hour before, a long one means an earlier first pickup or a second vehicle. The last run lands well before the processional.
• Ceremony: the loop pauses. If ceremony and reception sit at separate properties, this is when we stage for the move.
• Cocktail hour and dinner: light. One or two runs for late arrivals and for guests heading back to the hotel early.
• Late evening: the return block starts before the reception ends, not after. Guests who leave early ride first, which keeps the loop clear for the crowd at the end.
• Last call: the final runs clear the venue, on the cutoff agreed in advance.

Two planning notes: build the last-run cutoff around the venue’s end time rather than the band’s, and put the loop on the welcome card. A guest who knows a vehicle is coming back does not order a rideshare out of doubt.

Who takes the last guests home from a Lake Geneva reception?

The last guests get home on the same loop or on an hourly window booked for the closing block, and that choice is made before the day. The last group tends to be larger than planned, later than planned, and the least equipped to sort out its own ride.

The getaway ride is the same decision in miniature: if you want the vehicle waiting while photos run long, book the window rather than a transfer.

A vehicle already with your party is there; one added at midnight still has to get there. We run 24/7/365, so there is a person to reach if the night needs a change, but the plan you booked is the plan outside the door.

How is it priced and held?

Payment in full confirms the booking and locks the date; for a date like this, book in advance to ensure availability. Cancellations less than 24 hours before pickup are charged 100%, and we do not accept checks, so ask when you book if you have a payment question.

Waiting works differently on the two structures:

• On transfers, 30 minutes of waiting time is included. Time past that is worked out with you in 15-minute increments and depends on the day — how late it runs and whether the vehicle has a ride after.
• On hourly as-directed charter, waiting is part of the booked window. The SUV and chauffeur stay with you, so time parked outside the venue is time you already booked.

That is why a wedding evening often suits an hourly window rather than a stack of transfers.

Not every part of the weekend wants the loop. When a piece of it is a single run with a pickup time you can set — one pickup and one drop, like one arrival to collect from the hotel — a point-to-point transfer is quoted for that trip on its own, and the hourly window stays for the blocks where the vehicle waits, the couple’s own rides included. Send us both kinds together and we will quote them that way.

One more line for the welcome card, because it saves an argument at eleven at night: no alcohol, no smoking, and no food in the vehicle, on every ride.

Can the same booking cover the rehearsal dinner and the day before?

Yes: the rehearsal dinner, the welcome drinks, and the morning before all move people in the smaller groups an SUV carries cleanly.

A common day-before request is a golf morning for the groomsmen, booked as an as-directed block that starts at the hotel, holds through the round, and returns the group in time to change. A rehearsal dinner at Bella Vista Supper Club, or boarding for a Lake Geneva Cruise Line outing, works the same way: one window, one vehicle, nobody driving.
