Planning a Lake Geneva Corporate Retreat from O’Hare and Mitchell: Arrival Windows and Multi-Stop Days
Book the whole retreat as a single ground plan instead of a stack of separate rides. Your executives will land at two airports across several hours, and the plan you need has three parts: how many vehicles, when each one leaves, and where each traveler meets the chauffeur. Group the arrivals into windows at each airport, assign a vehicle to each window rather than to each flight, and put the days at the resort on an hourly as-directed charter so the SUV and the chauffeur stay with the group between sessions.

Which airport should the group fly into for Lake Geneva?
Milwaukee Mitchell is the shorter run, and O’Hare has the deeper flight schedule. Both are regular routes for us; the question is which one costs your executives the least time on the road against the connections they can actually book.
- Milwaukee Mitchell (MKE) is about 45 miles from the lakefront, 50 to 75 minutes.
- O’Hare (ORD) is about 68 miles, 75 to 110 minutes.
- Midway (MDW) is the long one at about 88 miles, 105 to 160 minutes.
If your team is flying from cities with good Milwaukee service, send them to Mitchell and the drive is shorter at each end. If the routing works better through O’Hare, use O’Hare and let us handle the longer corridor. A group can end up split across both, and that is fine. What matters is telling us the split when you book so we can build the arrival plan against two airports rather than discovering the second one on the day.

How many vehicles does a team landing at different times need?
A team landing at different times needs fewer vehicles than it has flights in most plans, because we batch by arrival window instead of assigning a car per flight. You send the flight details at booking, and we group the arrivals that land close together into a single pickup. A vehicle covers each window rather than each passenger, which is why a team landing across a three-hour span can need far fewer vehicles than it has flights.
Our own vehicles are late model luxury SUVs seating up to six or seven depending on the vehicle, so a larger group moves as repeat trips. With luggage, the working count per vehicle drops, so send bag counts with the manifest and we confirm the vehicle count against them.
Where each traveler meets the chauffeur at O’Hare and at Mitchell goes into the confirmation you forward to the team. Ask for it when you book and we set it for each airport, so the paragraph your executives read on landing is ours rather than a guess.
Flights move. When one does, tell us and we work with you to adjust pickup times. On an airport transfer, 30 minutes of waiting is included; if we do not hear from a traveler inside that window the ride is a no-show, and time past the window is worked out with you in 15-minute increments depending on the day. Batching around real windows, and telling us when a flight moves, is how you avoid paying for waiting you did not need.
How does a multi-stop Lake Geneva retreat day work?
On an hourly as-directed charter, the SUV and the chauffeur stay with your group for the booked window. Stops are added as the day unfolds without rebooking, and waiting between stops is part of that window rather than a separate arrangement. A three-stop day, with a morning session at the resort, lunch off property, and dinner somewhere on the lake, runs as one continuous booking instead of three separate transfers.

You do not need the itinerary locked before you book the window. Give us the start time, the rough shape of the day, and the time the group needs to be back, and we build from there. If a session runs long or the group adds a stop on the way to dinner, the chauffeur is still with you. The window has a length, though, and you book and pay for it start to finish: if the day is going to run past it, tell us as early as you can and we agree the overrun with you.
Can the charter cover a golf afternoon between sessions?
It fits inside the same as-directed window. A retreat can build in a golf afternoon between sessions, and the charter handles it the way it handles any other stop. The group is dropped at the course, the chauffeur stays through the round, and the vehicle is there when the round is done.
Split groups work too. If part of the team golfs while the rest stays back for a working session, say so at booking and we plan coverage around both tracks. Depending on the numbers and the timing, that means either a second vehicle or a return trip between the course and the resort, and it is much easier to decide that in advance than at two in the afternoon.
How do departures work?
Departures are planned backwards from each flight time, per traveler and per airport. Give us the departure time and the airport for each traveler and we set the pickup window with you. The corridor times do the arithmetic for you: a run to O’Hare at 75 to 110 minutes needs a different departure window than a run to Mitchell at 50 to 75 minutes, and traffic differs by day and hour.
Departures batch the same way arrivals do. Executives leaving inside the same window ride together, and executives leaving hours apart get their own pickups. If the group is checking out at staggered times, checkout times often shape the batching before we do. Send us the departure list with the arrival list and we plan both ends at once, which is also how we catch the traveler whose return flight leaves from the airport they did not fly into.

How is the retreat quoted and confirmed?
Everything is quoted before booking. You send the trip details, meaning the airports, the arrival and departure windows, the headcount, the bag count, and the shape of the charter days, and we come back with the price. The price we quote is locked in once you book, so a busy weekend on the lake does not change what you agreed to. Payment in full is what confirms the date and the vehicles, and for a date you cannot move it is worth booking early.
Not every leg needs a window. Where a traveler’s piece of the plan is one pickup and one drop — an arrival to bring in on its own, or the ride back to the airport at the end — that leg can be booked as a single point-to-point transfer and quoted for that trip, while the days at the resort stay on the charter window that keeps the vehicle with the group. On a transfer the usual rule applies: 30 minutes of waiting is included, and if we do not hear from the traveler inside that window the ride is a no-show. Send both kinds on the same list and we will price the transfers as transfers and the charter days as windows.
Two terms your procurement side will ask about: we do not accept checks, so raise any question about payment when you book, and cancellations less than 24 hours before a pickup are charged 100%. No alcohol, no smoking, and no food in the vehicle, on every ride.
